The minutes of the general meeting of West Coast Association held on 29/02/20 at the residence of Mr. Shegun Okunomo at werkzaamheidstraat 7 8400, Oostende
The chairman Mr. Anthony Amachukwu in his opening speech said that this is the second meeting of the year and thanked the Okunomo’s for hosting us and called on pastor Chidi Ezeagu to say the opening prayers at 17:37 pm.
Absenteeism: On that Merrs. Kingon an Figar called the host that they would not be present in the days meeting and the chairman Mr Amachukwu informed the house that he spoke with Mr Daniel Figar on telephone who told him that he will not be coming to the meeting. Mr Daniel Figars record was checked in the register and it was confirmed that he has failed to attend to meetings three consecutive times. The chairman Mr. Amachukwu further said that Merrs. Oyebamji and Olivier will be going to Germany to collect some documents regarding to Mr. Johnny Oliviers wife and that they will come late or may not come at all. Pastor Chidi Ezeagu observed an amendement in the last minutes pertaining to finance that there are some discrepancies and that he sent some comment regarding to that in our website. On that motion of adoption of the last minutes were moved by pastor Ezeagu and seconded by Mr Lucas Onuorah.
Tax matters: The chairman Mr. Amachukwu told the house that the tax matters has been resolved but we were fined the the sum of 50 euros by the Federale Overheidsdienst after all. He further said that we have to do the changing of officials (new executive) and that the photocopy of their identity cards are needed.
Change of address: The issue generated some comments and we ruled to keep and maintain the current address in Brugge and change the officials while the payment of the sum of 50:00 euros fine shall be done by the chairman emeritus Mr. Kingsley Ihedinobi, he will be given the sum 50:00 euros after the days meeting for the job.
Mr Nelson Orobor/ Mr. Isaac Ehianrunwa’s letters: The duly registered letters written to Mr. Orobor and Mr. Ehianrunwa were read out and the house accepted the letters and we ruled to write a letter of termination of membership to Mr. Nelson Orobor. For failing to be present in the days meeting upon receiving his invitation letter. We agreed to check his financial statues (fines/levies) and deduct same from his baby boom and stating so in the said letter of termination of membership. He will also be told to come and collect the balance sum of the money.
Investing in housing; On that the chairman Mr. Anthony Amachukwu said we should give the suggestion serious thoughts and that by the next 20 years we are definitely going to run out of steam and retire and we should have some thing to be reaping from that it could also help to motivate the members lagging behind. He further suggested that with the contribution of the sum of 2000 euros each that it is possible for such investment. Mr. Kingsley Ihedinobi suggested we do it in a way that we form another body for the plan to be achievable and we agreed to look into the matter.
Mr. Garains 25th wedding anniversary: On the matter Mr. Garain said he was not able to change the date of the event and Mr Valentine Udeaja spoke on the issue saying we should go and honor the invitation because of Mr. Garains total commitment to the meeting and further said that hence the month of Mays meeting host agreed to shift his hosting to June meeting also because of the event we should consider the invitation. Mr. Lucas Onuorah said we should go for the event but however wants us to caution members for such things not repeating itself in the future (issue of fixing an event during meeting dates). Pastor Chidi Ezeagu said that we attending the event is not so good and according to him 2 members left the association in the past due to matters like this. The vice chairman Mr. Ik Owoh wants us to attend the event. We ruled to cancel the meeting of month of May and attend the event and the monthly dues of may shall also be paid in the month of June.
Mr Jude Daraugo’s wedding invitation: The house told the P.R.Q. to send a message to members regarding the wedding
General Comment under general Mr. Valentine Udeaja wants the meeting to always encourage (orally) whomever that is committed to meetings.
Mr. Kingsley Ihedinobi talked about the corona virus and wants know what happens if it eventually breaks out.
Mr. Lucas Onuorah wants us by next meeting to know the date of our forthcoming BBQ. The chairman Mr. Amachukwu also wants the house to find a way of congratulating ourselves during birthdays.
Finance: Under finance, the total sum of 300 euros was realized in the days meeting. It is as follows: Condolence levy: = 180 euros
Monthly dues = 120 euros 300 euros
Expenses: = 84,45 euros
Penalty from govt = 50,00 euros
Registered letters = 14,45 euros
Host drinks = 20,00 euros
Mr. Charlie stood and thanked God for being in our midst for almost 2 years and said the way we treated Mr. Garains matter is very nice and wants us to consider 2 dates wedding and birthdays for the interest of the meetings and members because these are the events that cannot be changed and wants us not to deduct any money from Mr. Orobors baby boom. He further talked about investing collectively in housing that it is a welcomed idea. In the absence of further topic for discussion motion of Adjournment of the days meeting was moved by Patrick Ezebuiro and seconded by Mr. Lucas Onuorah and closing prayers was by pastor Chidi Ezeagu at 20:16 pm. Refreshments were served.
Vote of thanks was done by the vice chairman Mr. Ik Owoh who thanked and appreciated Mrs. Okunomo for allowing her husband to host us, He further said the food was wonderful and delicious and presented a carton of malt drink to her and she responded by thanking us for coming.
The minutes of the general meeting of West Coast Association hold on 25/01/20 at the residence of Mr Anthony Obi in Lodewijk de Raesstraat 46 8400 Brugge.
The chairman Mr Anthony Amachukwu thanked the members for coming to the days meeting being the first meeting of the year and also thanked the Obi’s for opening their doors for us.He beckoned on Mr Patrick Ezebuiro to lead us in the opening prayers. Shortly after that the chairman asked the non members in our midst to introduce themselves and Mr Jude Daraugo stood and said he is a friend of West Coast Association and the second person said his name is Mr Valentine that he came with Mr Patrick Oyebamji and the chairman told them that they are in the meeting as observers. Absenteeism. Mr Daniel Figar is absent in the days meeting. On that the motion of the adoption of the last minutes were moved by Shegun Okunomo and supported by Johnny Olivier.
Tax matters: The chairman Mr Amachukwu told the house that we could have incurred a fine of 50,000,00 euros from the government for not have sorted out our tax related matters. He further said that the matter is almost been resolved but that it remains one that is called UBO and that it is been handled by an accountant, that some changes needs to take affect like the change of signatories. The chairman emeritus Mr Kingsley Ihedinobi wants us to start the issue of change of signatories immediately. Some opinions were raised and we agreed to effect the changes. (Signatories)
Doing of Barbecues in every 2 years: The issue of doing our family BBQ’s in every 2 years was raised by Mr. Kingsley Ihedinobi who said that having our mothers day and family BBQ same year is somehow cumbersome and suggests we start having our BBQ’s in every 2 years. On that Mr. Valentine Udeaja said that his suggestion is not bad but the family BBQ is the link that bridges the gap between us and our kids and that the kids are always looking forward to the event every year. Some opinions were also raised and we ruled that the status quo remains, family BBQ every year and mothering Sunday in every 2 years.
Nelson Orobor’s Letter of Invitation: The chairman Mr Anthony Amachukwu told the that the letter we supposed to write to Mr. Nelson Orobor was not written after all because there was no letter headed papers and tendered unreserved apology for that and promised that the letter will be written as soon as possible.
Mr. Ezebuiro’s faulting of SMS during Mrs. Owoh’s death: On that Mr. Ezebuiro said that he got to know about the sad new through a non member of West Coast Association and wondered why we failed to inform our members through messages as an Association and wants us once such a thing happens we should try and sensitize our members. The vice chairman Mr Ike Owoh stood and apologized to the house for the error and promised that it shall not happen again.
Mr Patrick Garains 25th year Wedding anniversary: Due to the fact Mr. Garains wedding anniversary falls on the day of our meeting and he Mr Garain explained to the house that all the halls (venue) they have been searching for the event were fully booked and the only available date falls on the last Saturday of May being our meeting date. Many suggestions were made and Mr Patrick Oyebamji said that it is better we think carefully over the issue while Merrs. Imoke and Ezebuiro suggested we cancel our meeting for the month of May. However the chairman Mr. Amachukwu said we should all have to sleep and ponder over the matter till next meeting.
The chairman Mr. Amachukwu informed the house that Mr. Udeaja was hospitalized and his hospitalization benefit was given to him.
Mr. Isaac Eghianruwa’s suggestion we invest in housing was referred to the next meeting.
Correspondence: A letter of resignation was received
From Mr Isaac Eghianruwa stating that he is resigning from West Coast Association. And we ruled to write and acknowledge the receipt of the letter.
General comment: Under General Comment Mr. Shegun Okunomo wants to know if a member is owing West Coast Association and leaves with the money what happens there after.
Mr Valentine Udeaja thanked West Coast for visiting him in the hospital also with an envelope.
Mr. Jude Daraugo stood and thanked West Coast and said the Association is well organised and advised that there is no sentiments regarding the constitution and prayed to God to bless West Coast Association and presented a wedding invitation with a packet of Jack Daniel, he said the wedding is on the 7th of March and that West Coast has a special table. The chairman emeritus Mr. Ihedinobi while responding said we have to accept the invitation because it has come but it is an invitation that West Coast shall attend as individuals and not as an Association. The chairman Mr. Amachukwu told Mr Daraugo that the table to be reserved for West Coast is not necessary because he is not a member of West Coast Association, he assured Mr. Daraugo that he Amachukwu’s shall be present on that day and also encouraged members to attend.
Finance: The total sum of 610 euros was realized in the days meetings and it is as follows:
Monthly dues = 250 euros
burial levy = 360 euros
expenses = 20 euros (drink host) it was handed over to the treasurer.
Mr Kingsley Ihedinobi brought to the house Mrs Oyebamji Ashebi’s Cap for those that have not paid nor collected theirs. In the absence of further topic for discussion, motion of adjournment of the days meeting were moved by Mr. Patrick Ezebuiro and supported by Lucas Onuorah and closing prayers was said by Pastor Chidi Ezeagu at 19:24 Pm and refreshments were served. Vote of thanks was done by the Vice Chairman Mr. Ik Owoh who thanked Mrs Obi for her hospitality and she responded by thanking everyone for coming and wants the Association to leave the annual BBQ as it is for the sake of the kids.

The meeting started with opening prayers said by Mr Patrick Ezebuiro at 4:55 pm, the chairman Mr Anthony Amachukwu thanked Mr Patrick Garain for opening their doors for the days meeting:
Absenteeism: Messrs Shegun Okunowo and Daniel Figar were absent in the days meeting, Mr Okunowo travelled to Nigeria while Mr Figar is working. On that motion of adoption of the last minutes was moved by Mr Anthony Obi and seconded by Mr Johnny Olivier. The association’s tax clearance: On that the chairman Mr Amachukwu informed the house that the chairman emeritus Mr Ihedinobi had difficulty in filling the tax and that it is possible we are going to be fined, he further said the only option is to engage an accountant and assured that by Monday next week he shall start the process and after some deliberations, Mr Patrick Garain offered to help till end of next week and if his efforts fails, the chairman is giving the mandate to go further. Mr Nelso Orobor’s matter: Due to his inability to rewrite his resignation letter the matter was brought up and Mr Kingsley Ihedinobi told the meeting how he spoke with him on the telephone informing him to rewrite his resignation letter properly. And he Mr Orobor told him that he will not rewrite it. On that many opinions were raised and we later ruled that the Association will write a letter of invitation inviting him physically to the next meeting. Mr Ik Owoh’s entitlements. The constitution stipulates that in the case a member loses his wife to death, the sum of 1,500 euros shall be given to the bereaved member. On the issue of how we can raise part of the money Mr Valentine Udeaja talked about burial levy and Mr Lucas Onuorah collaborated Mr Udeaja’s views by suggesting we levy ourselves the sum of 50 euros which can be paid instrumentally till march 2020. On that we ruled that the sum of 1,500 euros be taken from our accounts and be given to Mr Ik Owoh as his entitlements over the death of his wife Mrs Owoh and there after levy ourselves the sum of 50 euros each member which can be paid till march 2020. The chairman Mr Amachukwu mandated the signatories to bring out the money from the bank and Messrs Tony Obi, Kingsley Ihedinobi, Anthony Amachukwu and Rowland Kingon were appointed to go and present the entitlement to Mr Ik Owoh next week Sunday in his residence. Electoral process: Due to the fact that Mr Rowland Kingon expressed dissatisfaction in the way the election was conducted, the matter was brought up but he quickly replied that he has learnt about the process. On the matter of his registration fee, he told the house that he was not happy the way the financial secretary brought the matter to the floor of the meeting. However the chairman emeritus Kingsley Ihedinobi stood and tendered unreserved apology for not have followed the matter, he further said that prior to his handover he told Mr Kingon to pay the money or not receiving the membership certificate and that he Kingon brought 50 euros to him before receiving the certificate of membership during the last BBQ. He suggested to the financial secretary that during the roll calls to always defined members monetary issues to avoid repeating itself. The financial secretary pastor Chidi Ezeagu frowned at how everything went and wants us to avoid undiplomatic statements. We ruled that the financial secretary shall start defining the monetary issues during roll calls. Mr Ik Owoh said that he promised on behalf of the executive to be financially trust worthy and also advised the house that if someone has said during the meeting what you wanted to say that it is better to support to avoid time wasting. General comment Mr Geodfrey Ohuma faulted the process of the last election by voting the vice chairman in absentia. Mr Kingsley Ihedinobi wants the BBQ to be every 2 years. Mr Lucas Onuorah wants the new P.R.O to start sending birthday messages. Mr Patrick Ezebuiro faulted the way the message of late Mrs Owoh was poorly publicized that there was no phone calls even in our WhatsApp platform nothing was said officially. Mr Patrick Oyebamji stood and thanked West Coast for coming out en masse during his birthday celebration and prayed God to bless everyone. Mr Isaac Eghianruwu wants us to move West Coast Association to another level next year by buying a house or hall for hiring. Mr Patrick Garain informed the house that come 30th may 2020 that he is celebrating 25 years wedding anniversary. Mr Rowland Kingon wants us to start the issue of money lending and paying back with interest. And also talked about investing in properties. Mr Kingsley Ihedinobi informed the house that KBC bank blocked our account and that he has gone to sign some papers and the account has been reopened.

Mrs Garain in her response said it is a pity that women are not allowed to join West Coast and said that West Coast has changed her husband and that we really show love in West Coast. She further said that her husband’s certificate of membership is been hung on the walls of her room. And prayed for journey mercies back home.

The minutes of the general meeting of West Coast Association vzw held on 26TH October 2019 at the residence of mr Isaac Eghianruwu Zandstraat 253 Sint- Andries, Bruges
The meeting started with an opening prayer said by Pastor Chidi Ezeagu at 17:30 pm, the chairman mr Kingsley Ihedinobi in his opening remarks thanked the Eghianruwu’s for welcoming us in their abode. These members were absent in the days meeting (a) Mr Iyke Owoh (b) Mr Lucas Onuorah. Mr Iyke Owoh lost his dear woman while Mr Lucas Onuorah travelled to Nigeria. The chairman quickly announced the death of Mrs Greta Owoh, the wife of Mr Iyke Owoh and a minute silence was observed in her honor. The motion of the adoption of the last minutes were moved by Mr Anthony Obi and seconded by Pastor Chidi Ezeagu. The chairman Mr Ihedinobi said he has come to the end of his final term of 6 years and thanked all the members for their support given to them all these years. He further said he took over with 13 members and the total sum if 4000 euros and that he is handing it over to the incoming executive number of 16 members and the sum of 8000 euros. Mr Rowland Kingon said he’s not in support the way the election is being organized and the chairman explained to him how the proces is being done. On that the executive were dissolved and electoral Committee were appointed. They are Messers Geodfrey Ohuma, Daniel Figar and Rowland Kingon. The post of chairmanship were contested by Anthony Amachukwu, Patrick Ezebuiro. Mr Daniel Figar, Mr Iyke Owoh. Mr Amachukwu polled 10 votes while Mr Ezebuiro and Mr Figar polled 1 vote each respectively and Mr Iyke Owoh got 3 votes. On that Mr Anthony Amachukwu becomes the chairman and Mr Iyke Owoh the vice chairman. The office of the secretary Mr Valentine Udeaja Mr Rowland Kingon and Mr Johnny Olivier contested. Mr Udeaja got 10 votes, Mr Kingon 2 votes and Mr Olivier 3 votes. Mr Valentine Udeaja and Mr Johnny Olivier become the secretary and assistant secretary respectively. The office of public relations office Mr Rowland Kingon, polled 5 votes Mr Joseph Imoke polled 10 votes. Mr Isaac Eghianruwu 0 vote, Mr Joseph Imoke becomes the P.R.O. Financial secretary: on that Pastor Chidi Ezeagu got 8 votes while Mr Patrick Garain polled 7 votes. Pastor Ezeagu retained his post as the financial secretary. Treasurer Mr Patrick Garain polled 12 votes and Mr Rowland Kingon got 2 votes and Mr Garain is the treasurer. The new chairman Mr Anthony Amachukwu thanked the members for voting him as the chairman and that he is honored to be chairman of West Coast Association and wants all hands to be on deck to move West Coast Association to greater heights. Lastly he solicited for unalloyed support from members. The new members took photos together. Certificate of membership was also presented to Mr Isaac Eghianruwu. The chairman Emeritus Mr Kingsley Ihedinobi handed over to the new chairman Amachukwu some vital documents such as the certificate of registration, tax papers. While the outgoing secretary Patrick Oyebamiji over 2 minutes books and some correspondence to the new secretary Mr Udeaja. There were no general comments and no correspondence.
Finance: The total sum of 600 euros was realized in the days meeting and it is as follows:

2. Baby boom = 280 euros

The balance sum of 540 euros was handed over to the treasurer Mr Patrick Garain. In the absence of further topic for discussion, motion of adjournment of the days meeting was moved by Mr Geodfrey Ohuma and seconded by Mr Patrick Ezebuiro and closing prayers were said by Pastor Chidi Ezeagu. At 19:58 pm refreshments were served. Vote of thanks was done by Mr Valentine Udeaja who thanked Mrs Eghianruwu for her hospitality.
