The Minutes of the General Meeting of West Coast Association held on 27/9/24 at the Residence of Pastor Chidi Ezeagu of Kruisstraat 54, 9470 Donderleeuw, Utopia.

The Chairman Mr Anthony Amachukwu greeted the house and said it is nice to see us today in the meeting and called on Mr Patrick Ezebuiro to say the opening prayers at 16:50 pm.

Shortly after the prayers the Chairman Mr Amachukwu thanked the Ezeagu’s for welcoming us to their home.

Absenteeism: On that Mr Sekani Mbewe couldn’t make it to the day’s meeting due to family issues.
Mr Patrick Oyebamiji had an operation within the week while Messers Johnny Olivier, Shegun Okunomo and Daniel Figar are working.
A report was also given that Mr Lucas Onuoha may be coming late to the day’s meeting.

The host Pastor Ezeagu was asked if the absent members contacted him and his answer was NO and Mr Ezebuiro Observed that those that were unavoidably absence due to work related issues should have contacted the host.
We ruled to have it discussed in the next meeting.

On that the Motion of adoption of the previous minutes was moved by Mr Kingsley Ihedinobi and supported by Mr Patrick Ezebuiro.

A Minute of silence was observed in honour of Pastor Chidi Ezeagu’s mother in-law and it was done by the Chairman Emeritus Mr Kingsley Ihedinobi.

Upcoming Mothering Sunday: On that the Chairman Mr Anthony Amachukwu informed the house that the venue has been secured and booked for next year’s Mothering Sunday and the date is 31/5/2025 and it is at our usual venue of our annual family Barbue ques.

Year 2024 Family Barbue que Report: On that the Chairman Mr Amachukwu thanked everyone for the support and further said it was one of best Barbue ques organised so far although he said there were some hic ups especially by some members who came with some non members which is against our resolutions.

Mr Joseph Imoke said that he came along with his daughter’s friend that visited from a far while Tony Lippins said that his wife invited her friends without his knowledge.
After some deliberations Imoke’s case was understandable while Mr Lippins was pardoned.
However we ruled once again that any member( defaulter) that brings along non members to BBQ will pay the sum of 50 euros per head.

Bbq Account: Total money spent: 1897,4
Meat: 600 euros.
Gift for games: 203 euros c/o Mrs Amachukwu.
Hall: 110 euros.
1100 euros
Spring castle: 150 euros.
Tilapia:80 euros.
Money to balance:
Mrs Oyebamiji: 40 euros.
Maize c/o Pastor Chidi: 50 euros.
Hall cleaning c/o Mr Johnny Olivier: 50 euros.

We ruled henceforth to always pay the sum of 100 euros for cleaning of the hall after every event.
We generated the sum of 1800 euros for the Barbue que by paying 100 euros each and equally brought all the drinks from our freewill donations.

The Chairman Mr Anthony Amachukwu informed the house that he has filled the year’s tax and that everything is in order.

Correspondence: An invitation card was received from Igbo traditional council of Chiefs Belgium inviting us to their Music launching on the 5/10/2024. The invitation card came with a bottle of Jack Daniel whisky which was handed over to the Chairman Mr Anthony Amachukwu for keeps.

Another invitation card was also received from Igbo Union West Flanders Vzw Belgium inviting us to their End Year Gala Night Event on 23/11/2024 at Xaverianenstraat 3 8200 Brugge. It was also accompanied with a bottle of Jack Daniel whisky, it is also in custody of the Chairman Mr Amachukwu.

General: Mr Geodfrey Ohuma talked about the money owed to him by the Association meant for our Website. The amount is 120 euros.

Mr Valentine Udeaja talked about availing ourselves during meat roasting and other works to ensuring smooth Barbue ques.

Pastor Chidi Ezeagu wants us to have extra Grills atleast 3 of it during Barbue ques.

Mr Vitus Ononiba promised to increase the number of gifts free of charge for games during our family Barbue ques and he was applauded.

Mr Joseph lmoke talked about acquiring a new musical equipment that the one we are having is not audible enough.

Mr Lawrence Onah promised to always supply enough hamburger bread during Barbue ques.

Mr Kingsley Ihedinobi thanked the West Coast Association members for coming to his daughter’s 18th year/ graduation party that they appreciated every gift given to them.

Finance:The total sum of 570 euros was realised in the day’s meeting and it was as follows.

Monthly dues:370 euros.
Year 2024 BBQ: 200 euros ( already in the bank paid by Oyebamiji/ Alethor )

Expenses: 50 euros for Host wife.
Mr Geodfrey Ohuma: 120 euros for website.
Mothering Sunday gift for Sekani Mbewe: 50 euros.

The balance sum of 150 euros was handed over to the acting treasurer Mr Godrich Alethor.

In the absence of further topic for discussions, the motion of adjournment of the day’s meeting was moved by Mr Geodfrey Ohuma and seconded by Mr Godrich Alethor and the closing prayers was said by Pastor Ezeagu at 19 :34 pm and Refreshments were served.

Vote of thanks was performed by Mr Kingsley Ihedinobi who thanked the Madam of the house for allowing us be in their home for the day’s meeting and that it is not easy trying to make us happy and comfortable even with her work schedules.

In her response she thanked us for coming and appreciated the envelope given to her and prayed to God to bless and lead us safely to our various homes.
